Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team at ITM. The ideal candidate will handle day-to-day administrative tasks, manage correspondence, schedule meetings, and ensure smooth office operations. They should be proactive, possess strong communication skills, and be able to multitask in a fast-paced environment.
Responsibilities
- Provide administrative support to HR and office staff.
- Assist in maintaining and updating employee records and databases.
- Schedule meetings, interviews, and appointments.
- Organize and maintain office files, records, and documents.
- Respond to phone calls, emails, and inquiries in a timely manner.
- Assist in the preparation of HR-related reports and documentation.
- Perform general office duties such as photocopying, scanning, and filing.
- Support event coordination and office activities as required.
- Take minutes during meetings and distribute them to relevant stakeholders.
- Handle confidential information with professionalism and discretion.
- Other duties as assigned to support the office’s smooth functioning.
Requirements
- A degree or diploma in HR, Business Administration, or a related field.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize tasks efficiently.
- A proactive and adaptable attitude, with a willingness to learn.
- Interest in pursuing a career as a Personal Assistant (PA) in the future is a plus.
