Job Purpose

To facilitate the planning, scheduling, and execution of work orders by coordinating information and resources between field crews, planners, and other stakeholders. The Work Management Agent ensures work orders are accurate, prioritised, and completed efficiently while adhering to safety and regulatory standards.

Impact: The Work Management Agent ensures seamless communication and coordination, contributing to the timely completion of operational tasks and the overall reliability of the electricity grid.

Key Result Areas

  1. Receive, process, and prioritise work orders based on operational needs and resource availability
  2. Verify the accuracy of work orders, ensuring all required information is included
  3. Assist in scheduling tasks for field crews, ensuring alignment with availability and priority levels
  4. Monitor schedule progress and address any changes or delays promptly
  5. Coordinate the allocation of materials, tools, and equipment for scheduled work
  6. Track and update resource availability to minimise delays
  7. Serve as the primary point of contact between field crews, planners, and other departments for work order-related inquiries
  8. Ensure all stakeholders are informed of work order statuses and changes
  9. Accurately enter and maintain work order details in the company’s work management system (e.g., CMMS)
  10. Update records with real-time information on task progress and completion
  11. Ensure work orders and associated tasks comply with safety and regulatory standards
  12. Promote awareness of safety protocols among field crews and other stakeholders
  13. Track work order performance metrics and identify areas for improvement
  14. Prepare and submit regular reports on work order statuses and outcomes
  15. Provide feedback on work management processes to support ongoing improvements. Suggest enhancements to work order workflows for greater efficiency.

Person Specifications

Academic Qualifications and Experience

  • Either a Diploma in Electrical Engineering with at least three years of experience in work planning, coordination, or administration, preferably in the energy or utilities sector.
  • Or a Diploma in Business Administration, Development Studies, or Project Management, with at least seven years of experience in work planning, coordination, or administration, preferably in the energy or utilities sector.

  • Strong organizational and time-management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in data entry and use of work management systems
  • Basic understanding of operational and safety standards in the energy sector
  • Ability to multitask and prioritize in a dynamic environment.

Working Environment

The role involves office-based work with occasional interactions with field crews and planners. The Work Management Agent operates in a fast-paced environment requiring attention to detail, proactive problem-solving, and effective communication with multiple stakeholders.
